How We Plan Your Trip

Transparent, thoughtful, and built entirely around you.

Planning a trip to Canada can feel overwhelming — it’s a vast country with countless choices. Our job is to make the process simple, enjoyable, and tailored to you. Whether you’re a private traveler or a B2B partner organizing a group, we work step by step to design an itinerary that’s as seamless as it is memorable.

Here’s how it works:

Step 1: Your First Contact

Everything begins with your enquiry. The more you can tell us, the better we can understand your expectations and priorities. Helpful details include:

  • Approximate budget (per person or per couple, excluding flights) – see also our Budget Fairy article on why this matters.
  • Travel dates (and flexibility)
  • Number of travelers and ages
  • Key regions or must-see locations
  • Nights in Canada
  • Accommodation style (not just stars — boutique? comfort? charm?)
  • Activity level and interests (wildlife, culture, adventure, relaxation, etc.)

But don’t worry if you don’t have all the answers. Once we receive your enquiry, we’ll follow up with a few focused questions and, when it makes sense, arrange a short call (English or German) to get a feel for what matters most to you.

Help Us Help You – What Makes a Great Enquiry?

The more we know from the start, the better we can help you plan the trip you’re hoping for. Here are a few anonymized examples of real enquiries we’ve received:

Enquiry #1 – Ideal (Received July 2024)

Hello Go Kanada Travel,

We’re planning a trip to Western Canada next year (August/September 2025) and would like to focus on nature and wildlife rather than cities.

Our priorities:

    • Opportunities for bear and whale watching
    • Short hikes of up to 8–10 km (gentle to moderate difficulty)
    • A self-drive trip with an all-wheel-drive vehicle (we’re comfortable with gravel roads)
    • Two nights or more at most stops, to avoid unnecessary travel stress
    • Comfortable, clean accommodation with private facilities, B&Bs are welcome
    • A few unique “affordable splurge” stays, like a cabin in the woods, would be great

We are two travelers (ages 71 and 66) and would appreciate having a German-speaking contact during the trip in case of emergencies.

To help you get started, we’ve drafted a preliminary itinerary and attached it here. We’re open to your feedback and suggestions — you’re the experts, after all!

We’d also ask you to book the rental car, accommodations, and any major tours.

Our budget (excluding flights) is approximately CAD $14,000.

We hope this gives you a good starting point. Please let us know if you need anything else!

Kind regards,

Why it works: This enquiry is specific, realistic, and includes the essentials: travel window, interests, pacing, accommodation preferences, budget, and even a draft itinerary. It gives us everything we need to start designing a high-quality trip without repeated back-and-forth.

Enquiry #2 – Ideal (Received March 2025)

Dear Go Kanada Travel,

We are a family of three from Germany planning a trip to Canada in autumn 2026. The trip should take place between 14 September and 12 October 2026, for a total duration of 3–4 weeks. At the time of travel, our child will be 10 years old.

We would like to plan a round trip that focuses on Western Canada, starting in Calgary and traveling by rental car through the well-known national parks. From there, we would like to continue towards Stewart and Hyder and experience the Inside Passage ferry route before exploring Vancouver Island. We would also like to include a stop in Whistler before finishing our trip in Vancouver.

Could you please provide us with an initial itinerary suggestion including a cost estimate?

Kind regards,

Family A.B.

Why it works: The route and timeline are clear, and while not every detail was included, we could clarify those during a short call. This led to a tailor-made trip they’re excited about.

Enquiry 3 & 4 – Need Clarification

3 – “We’re thinking about a trip to Canada in 2026, ideally including the Calgary Stampede. Maybe Banff, Jasper, Vancouver… 10–14 days. We’d like everything included. Car hire is an option.”

4 – “I’d like a private guided tour, traveling alone from Toronto to Vancouver in 14 days. I will book my hotels and flights myself.”

Why these didn’t move forward:

  • They’re too vague for us to build on (no clear dates, interests, or budget)
  • The trips as described may not be realistic for Canada’s distances and costs

Often, enquiries like these are “idea shopping” without an understanding of the real pricing — especially from people used to destinations where travel costs are lower (e.g., Asia or Africa).

Why this matters

Canada is a vast, premium destination. We want you to have an unforgettable trip — and that starts with understanding your priorities, travel style, and budget. If your first enquiry includes at least a rough budget, time frame, group size, and interests, we can guide you from the start.

If you’re not sure yet, that’s okay! But please know that Canada is not a “cheap destination” — and we can help you decide what’s realistic for your time-frame and budget before diving into planning.

Step 2: We Design Your Itinerary

This is where we bring Canada to life for you. We use your preferences and our deep, first-hand knowledge (2.5 million+ km on Canadian roads and over 5,500 nights in hotels) to create a day-by-day plan that flows beautifully — geographically, seasonally, and at the right pace.

Your itinerary will include:

  • A recommended route that makes sense (no zig-zagging or guesswork)
  • Handpicked accommodations we know and trust
  • Activities and excursions aligned with your interests
  • Practical travel times and downtime where it’s needed

You’ll also receive a clear, itemized quote.

A Note on Planning & Design Fees

Designing a truly custom itinerary involves substantial behind-the-scenes work — research, routing, availability checks, comparisons, and careful refinement. While initial discussions and general guidance are always complimentary, some projects require a planning or design fee before detailed itinerary development begins.

This ensures we can dedicate the necessary time and expertise to each journey and focus on clients who are genuinely ready to move forward. If a fee applies, it is always discussed transparently in advance and, where appropriate, credited toward a confirmed booking.

Step 3: Review & Refine Together

Once you receive the proposal, you’ll have time to review it and share feedback. If you’d like to tweak certain elements — swap an activity, add a rest day, upgrade a hotel — we’ll adjust the itinerary until it fits exactly what you’re looking for.

This refinement process does take some time (and that’s okay). We not only need to agree on what to include, but we also have to ensure that the desired accommodations, activities, and services are still available — and at the price we initially quoted.

The sooner we start the planning, the better: early planning often means more availability, better choice, and in many cases, more favourable pricing.

Step 4: Confirmation & Payment

When you’re ready to confirm, we’ll secure all the arrangements on your behalf. A deposit is required at this stage, with final payment due approximately 6 weeks before your trip.

(See FAQ: When do I pay, and how? for details.)

Step 5: Travel Documents Delivered

About 4–6 weeks before departure, we’ll send you a comprehensive travel packet (by email) including:

  • A clear daily itinerary
  • All booking confirmations
  • Vouchers or tickets for prepaid services
  • Driving tips and regional guidance (for self-drives)
  • 24/7 support contacts

For self-drive travelers, our itineraries include this level of detail each day, plus curated stop suggestions and insider tips — far beyond the generic templates many companies use.

Days 12–14: Friday, August 29 – Sunday, August 31, 2025 | Clearwater & Wells Gray Provincial Park – Land of Waterfalls

Hotel: Peaky Ranch or similar (3 nights)

Highlights: Today, you’ll embark on a fascinating journey from Jasper, Alberta, to Clearwater, BC — a gateway to one of British Columbia’s most pristine natural treasures. Your trip begins amid the rugged peaks and unspoiled lakes of Jasper National Park and then follows the scenic Yellowhead Highway (Highway 16, then Highway 5) westward.

Along the way, you’ll be treated to breathtaking views of towering mountain ranges, lush forests, and wide valleys.

A must-see stop is the Mount Robson viewpoint, where you’ll gaze up at the highest peak in the Canadian Rockies (3,954 meters) — its sheer scale is simply awe-inspiring! Shortly afterward, a quick stop at Rearguard Falls rewards you with a stunning view of thundering water. With a bit of luck, you might even spot salmon leaping upriver.

In Valemount, it’s worth making a brief detour to the Visitor Centre to watch for returning salmon in Swift Creek — a fascinating late-summer natural spectacle! …

Step 6: Support While You Travel

Our work doesn’t stop when you land. We’re based in Canada and just a phone call away throughout your journey. Whether you need help with a delay, a change, or simply a dinner recommendation, we’re here to make sure your trip runs smoothly.

Step 7: Share Your Feedback

Your trip doesn’t end when you land back home. We truly value hearing how it went — because your feedback shapes the way we plan future trips.

In the past, many clients have sent us thoughtful reviews, sometimes even three pages long! We love that level of detail, but we’re equally happy with just a few quick insights. At the end of your trip, we’ll send you a short feedback request with a few questions, such as:

  • What were the three top highlights of your trip?
  • Were there any “low-lights” we should know about?
  • Which hotels or experiences made you say wow?
  • Which ones didn’t fully meet your expectations?

This feedback helps us refine future itineraries, recommend the very best experiences, and avoid any hidden pitfalls.

We may also ask if we can use a few of your comments for future clients — only with your permission.
